IMPORTANT NOTICE for KWSC MEMBERS
Dear Members,
As part of our continual efforts to be more transparent and accountable to the members of the Kingston Women’s Soccer Club (KWSC), our new treasurers have been performing an extensive internal audit of all the expenses and revenues collected from teams for the Indoor 2010/2011 season. This process has taken a great deal of their personal time and we appreciate their commitment and efforts.
As you are aware at each General Meeting held in March and August the KWSC Executive presents to its members a budget for the season. This budget is largely based on the information that we receive from our external partners for cost estimates for the season (e.g. OSA fees, field costs, referee fees, dome fees, etc.).
When the budget for the Women’s League and Coed League Indoor 2010/2011 season was presented to the members in August 2010, the Executive was not aware that KWSC was required to charge HST on all revenue collected by the club: this included HST on referee and OSA fees. As a result the budget did not accurately capture this cost.
In addition, it has become apparent to the new KWSC Executive Board that a number of teams still have outstanding balances payable to KWSC for the Indoor 2010/2011 season for both the Women’s League and Coed League.
Since the KWSC is a "not-for-profit" organization, we cannot operate in a deficit (with a loss). It is critical for the club to recoup this money as this affects our current expenses, our cash flow and our responsibilities with Canada Revenue Agency.
Over the next few days each team representatives will be receiving a statement detailing any outstanding balances that need to be paid immediately or if your team has a credit.
All accounts that have an outstanding balance must be paid in full by Monday, March 7th, 2011. If your account is not paid in full, you will not be able to register a team for the Outdoor 2011 season AND all future games for the Indoor 2010/2011 season will be suspended until payment has been received. Teams with outstanding balances must present one cheque payable to the KWSC by this deadline.
We will be holding collection nights at the following dates/times/locations:
• Wednesday, February 23rd, 2011 from 7:00-9:00 PM at the Soccer Dome
• Thursday, February 24th, 2011 from 7:00-9:00 PM at the Soccer Dome
• Monday, February 28th, 2011 from 6:00-8:00 PM at the SOSA Office
Please refer to the Treasurer’s Report and Question and Answer Sheets for both the Coed and Women’s League’s that are posted on the KWSC website to help you better understand the decision of the KWSC Executive.
